Aspen Flex Associate | Calgary

Position Summary:

Reporting to the Aspen Flex Manager, this entry-level position collaborates with and provides support to the Flex, Leasing, and Property Management teams of Aspen Properties. You will be the daily point of contact for our Flex locations and will be an integral part of delivering an exceptional tenant experience.

Our Aspen Flex locations offer businesses serviced flexible office options; from one person offices to larger suites for larger teams, all on flexible terms.  We have Flex spaces located in our 333, 444, The Edison, The Ampersand and Millennium Tower buildings in Calgary, as well as our Bell Tower and MNP Tower buildings in Edmonton.

Key Responsibilities:

• Be the daily driver of the Aspen Flex experience at our Calgary Flex locations

• Act as the daily point of contact for current and prospective Flex tenants

• Manage inquiry calls and emails and show the premise to prospective tenants and real estate brokers, including exercising discretion in guiding prospective tenants 

• Work with Aspen Flex Manager, Senior Director, Strategic Initiatives & Marketing, and Lease Administration to lease and document agreements with prospective tenants 

• Work with the managing team to achieve excellence in the delivery of services to tenants

• Prepare and coordinate spaces to suit tenants and prospective tenants’ needs (staging vacant offices and common areas) 

• Maintain common areas including the kitchen, meeting rooms, and Flex lounges, which involves keeping meeting rooms orderly and stocking/ordering kitchen and space supplies.

• Tenant Management: includes but is not limited to onboarding new tenants, tenant move outs, assisting with Flex space related issues, gathering data on current and prospective tenants, and following up on tour leads. 

o Onboard all new tenants to ensure a successful start at our Aspen Flex locations (coordinate setting up WiFi login information, Keys and Swipe cards, digital receptionist information, meeting room booking, Aspen App setup)

o Ensure move out procedures are followed for all former tenants (keys and swipe cards returned, walkthrough the premises with the tenant, etc.)  

o Assist in implementing initiatives designed to create connections between tenants

o Solve space-related issues to ensure a cohesive community and manage tenant expectations 

o Proactively gather data on tenants’ business objectives and identify Flex services that could help tenants achieve their objectives

o Assist the Aspen Flex team in proactively accessing our rules, guidelines, and best practices to optimize tenant experience

o Actively follow up on tour leads and track prospective tenants 

• Assist with in-house data management and tracking 

• Assist with updating and coordinating monthly email of leasing materials

• Prepare correspondence including memos, letters, and reports

• Liaise and partner with internal departments as required

• Electronically communicate company materials on behalf of team

• Maintain on-site electronic filing systems (rent roll, tour tracking, insurance, tenant contact information, etc.) 

• Stay current on co-working trends

• Other duties as required

Qualifications:

• Working towards or completion of a university degree or college diploma preferred

• Customer Service and sales experience required

• Strong proficiency in Microsoft Office products including Outlook, Word, Excel, and PowerPoint

• Superior listening and customer service skills

• Ability to effectively work independently as well as part of a larger team  

• Superior problem solving and critical thinking skills

• Strong self-starter who can adapt to fast changing situations and environments 

• Excellent interpersonal skills with a high level of professionalism and a demonstrated ability to speak and adapt to various audiences

• Exceptional organizational and multitasking skills

• Excellent verbal and written communication and strong presentation skills

• An organized self-starter with excellent time management skills and an ability to manage competing priorities

• Honesty and integrity combined with a high level of initiative and dedication

• Excellent planning, organization, and problem-solving skills

• Successful police criminal record check and education check
